Coming soon · For trainers, studios and coaches

Sessions, coaches and hours in one schedule.

A one-to-one training session, a private Pilates lesson and an hour of sports coaching all depend on one person being free at the right time. Whenlet brings your sessions, each coach’s availability and your bookings together, from early mornings to evening slots. Share a booking page and keep the week clear on your phone or at the desk.

Plan around the coach and the length of the session.

Early starts, split days and changing weeks are normal in fitness work. Set the sessions you offer, then fit bookings around the hours each coach actually works.

Set session lengths that match what you sell

  • The daily problem: A 30-minute check-in, a 60-minute training session and a 90-minute private workshop should not take the same space in the diary.
  • With Whenlet: Give each session type its own duration and add time before or after it for setting up or moving between spaces.
  • Example flow: Create “Personal training, 60 minutes” with 15 minutes after it. A session at 07:00 leaves the next planned start at 08:15. This is an illustrative setup, not a measured result.

Fit early mornings and evenings into one day

  • The daily problem: Trainers often work before and after office hours with a gap in the middle. A single block of opening hours does not describe that day.
  • With Whenlet: Split a day into up to six working periods, and give each coach their own hours within the studio’s.
  • Example flow: Give a trainer 06:30–10:00 and 17:00–21:00 on weekdays and leave the middle of the day free. Each coach can follow a different pattern.

Match clients with the right coach

  • The daily problem: Clients often stay with one trainer, and not every instructor teaches reformer Pilates, yoga or sport-specific coaching.
  • With Whenlet: Connect each session type to the coaches who offer it, with individual durations and prices where needed.
  • Example flow: Assign “Private reformer session” to the two instructors who teach it and set your senior coach’s own price. Clients choose from the sessions and coaches you have defined.

Plan for holidays, competitions and days off

  • The daily problem: A coach away at a competition or a studio closed for a public holiday changes the whole week.
  • With Whenlet: Record full-day or hourly time off for each coach, and enter holidays and special opening days ahead of time.
  • Example flow: Mark a coach’s tournament weekend as time off and add a shorter Friday for the studio. Check the week before agreeing new sessions.

Give clients a simple way to book and remember

  • The daily problem: Messages back and forth to find a free slot take time on both sides, and early sessions are easy to forget.
  • With Whenlet: Share a booking page where clients choose a session and a time. Send reminders 24 hours before, 2 hours before, or both, and set your cancellation window.
  • Example flow: Put the booking link in your profile. A client picks a 07:00 session; the 24-hour reminder brings it back a day ahead.

Run the studio from the floor, not the front desk

  • The daily problem: Between sessions there is rarely time to sit at a computer to check the day or change a coach’s hours.
  • With Whenlet: Use the iPhone or Android app or the web panel. Invite coaches by phone number and decide whether they can edit their own hours and time off.
  • Example flow: Invite a new yoga teacher as staff, let them manage their own time off and check the day’s bookings on your phone between sessions.

Questions from trainers and studios

Can a trainer work split shifts?
Yes. Split a day into up to six working periods, such as an early-morning block and an evening block. Each coach can have their own pattern within the studio’s hours.
Can I run group classes with a set number of places?
Whenlet is built around appointments: a session, a coach and a time. It does not manage class capacity or attendee lists. If your studio relies on group class places, check at early access whether Whenlet fits that part of your timetable.
Do clients need an app to book?
No. Clients use your booking page in their browser to choose a session and time. The iPhone, Android and web tools are for you and your team.
Can I use Whenlet as an independent personal trainer?
Yes. Set up your own sessions, hours and time off, and share your booking page. If you later work with other coaches, invite them and give them their own schedules.
When can I start using Whenlet?
Whenlet is coming soon. Join the waitlist for early-access and launch updates. Joining the list does not create a product account or book a session.
