Practitioner hours and appointments, planned together.
A first physiotherapy assessment, a follow-up session and a dental check-up each take a different amount of time, and every practitioner keeps their own hours. Whenlet brings services, practitioner availability and appointments into one schedule. Whenlet schedules appointments; it does not store medical records.

Organise the appointment, not the clinical record.
Whenlet covers the time side of a practice: who is available, how long a visit takes and when it can start. Clinical notes stay in the systems you already use for them.
Separate first visits from follow-ups
The daily problem: A first assessment usually needs longer than a follow-up. When both fill the same slot, the day either runs late or leaves gaps.
With Whenlet: Create separate services with their own durations, and add preparation time before or after a visit.
Example flow: Create “Physiotherapy assessment” at 60 minutes and “Follow-up session” at 30 minutes, each with 10 minutes after it. An assessment at 09:00 leaves the next planned start at 10:10. This is an illustrative setup, not a measured result.
Book with the practitioner who provides the service
The daily problem: Not every practitioner offers every service, and people often return to the same dietitian, therapist, dentist or vet.
With Whenlet: Connect each service to the practitioners who offer it, and set individual durations and prices where they differ.
Example flow: Assign “Nutrition consultation” to the dietitians on your team and give one practitioner a longer session. The booking choice follows the service and the person.
Plan around part-time and shared schedules
The daily problem: Many practices have practitioners who work certain days only, split their day or share rooms with colleagues on different shifts.
With Whenlet: Give each practitioner their own working periods within the practice’s hours, with split shifts, special days and hourly or full-day time off.
Example flow: Set a psychologist’s hours for Tuesday and Thursday afternoons, add a lunch break for the dental team and record a training day as full-day time off.
Keep health details out of the schedule
The daily problem: A schedule that invites health details into service names creates information you then have to protect.
With Whenlet: Whenlet schedules appointments; it does not store medical records. Name services by visit type, not by condition, so the schedule holds only what it needs.
Example flow: Name a service “Initial consultation, 45 minutes” rather than after a diagnosis. Keep clinical notes and treatment history in the record system your practice already uses.
Give people a clear way to book a visit
The daily problem: Phone calls to find a free time compete with the work of the practice itself.
With Whenlet: Share a booking page where people choose a service and time. Send reminders 24 hours before, 2 hours before, or both, and set your cancellation window, up to a week.
Example flow: Put the booking link on your practice website. Because people see the service name when they book, keep it neutral and descriptive.
Control who sees and changes what
The daily problem: The practice owner, reception and practitioners need different levels of access to the schedule and its settings.
With Whenlet: Invite staff by phone number, keep owner and staff roles separate, decide whether staff can edit their own hours, and see who changed what in the activity log.
Example flow: Invite a new practitioner as staff and let them manage their own time off if appropriate. Services and practice hours stay with the owner.
Questions from clinics and practices
Does Whenlet store patient or medical records?
No. Whenlet schedules appointments; it does not store medical records. Use it for services, practitioner hours and bookings, and keep clinical notes and treatment history in the systems you use for them. Appointment details can still say something about a person’s health, so keep service names neutral.
Can first visits and follow-ups have different lengths?
Yes. Create them as separate services, each with its own duration and optional preparation time. Practitioners can also have their own duration and price for the same service.
Can each practitioner keep their own working days?
Yes. Every practitioner has their own hours within the practice’s opening hours, with breaks, special days and hourly or full-day time off.
Does Whenlet give medical or legal advice?
No. Whenlet is a scheduling tool. It does not give medical advice, make treatment decisions or confirm that your practice meets any legal requirement. Check your own obligations for appointment information with your advisers.
