Your barbers, bookings and working day together.

A haircut, a beard trim and a full grooming appointment take different amounts of time. Whenlet brings your services, each barber’s availability and your bookings into one place. Share your booking page, plan around breaks and time off, and keep the working day clear on your phone or at the desk.

Plan the day around the work in your chair.

Start with the service and the barber doing it. Then fit bookings around the hours your team actually works.

Give each service the time it needs

  • The daily problem: A beard tidy and a haircut with a beard service should not fill the same-sized space in your day.
  • With Whenlet: Set a duration for each service and add preparation time before or after it. Your booking plan reflects the time you need between customers.
  • Example flow: Create “Haircut” as a 30-minute service with 10 minutes after it. A booking starting at 10:00 leaves the next planned start at 10:40. This is an illustrative setup, not a measured result.

Match the booking to the right barber

  • The daily problem: Regular customers may have a preferred barber, while different barbers offer different services or need different amounts of time.
  • With Whenlet: Connect services to the barbers who provide them and set individual service durations and prices where needed.
  • Example flow: Add a beard service, assign it to the barbers who offer it, and set each person’s working hours. The customer’s choice follows the service and availability you have defined.

Check the diary before saying yes at the door

  • The daily problem: Someone walks in while your next booked customer is on the way. A quick promise at the counter can make the rest of the day harder to judge.
  • With Whenlet: Keep bookings and barber availability together so you can check the day before agreeing a time.
  • Example flow: Open the day’s schedule, check the service length and the next appointment, then agree a start that fits. Use the same view when a customer phones the shop.

Make breaks and time off part of the plan

  • The daily problem: The shop can be open while one barber is at lunch, away for an hour or taking the day off.
  • With Whenlet: Give barbers their own working hours, split the day into working periods, and record hourly or full-day time off.
  • Example flow: Set the shop’s hours, give one barber a later start and add a lunch break. Add a holiday closure separately, so the plan follows both the shop and the person.

Share the details customers need to remember

  • The daily problem: “See you tomorrow” leaves room for uncertainty about the time, the service or who the customer is booked with.
  • With Whenlet: Let customers choose a service and time on your booking page. Set reminders for 24 hours before, 2 hours before, or both, and choose your cancellation window.
  • Example flow: Put the link on your shop profile. The customer chooses a haircut and a time; your reminder brings the appointment details back before the visit.

Give the team a clear way to work

  • The daily problem: Running the shop from a phone is harder when every teammate has access to more information or settings than they need.
  • With Whenlet: Invite your team, separate owner and staff access, and decide whether staff can edit their own hours and time off. Use the iPhone or Android app, or the web panel.
  • Example flow: Invite a barber, check their role and enable their own-hours permission if appropriate. Keep the shop-wide setup with the owner while the barber works with their own details.

Questions from the barbershop

Can I offer haircuts and beard services with different durations?
Yes. Give each service its own duration and preparation time. If a barber needs a different length of time or charges a different price, set that at the team-member level. Define the combined service you actually sell rather than giving every booking the same length.
Does every barber have to work the shop’s full opening hours?
No. Each barber has their own working hours within the shop’s hours. Add breaks, later starts and hourly or full-day time off so the booking plan follows the people providing the service.
Can Whenlet fit a shop that also accepts walk-ins?
Yes. Use the schedule to check booked appointments and barber availability before agreeing a time at the counter. Decide how walk-ins fit around advance bookings as part of your shop’s working routine.
Do customers need to download the business app to book?
No. Share your booking page so customers can choose a service and time in their browser. The iPhone, Android and web tools give your team a place to manage the business.
Can I start using Whenlet now?
